What to look for when hiring conference space in London
Layout matters more than headcount alone
Before you enquire, know whether you're running a theatre-style talk, a workshop in cabaret rounds, a boardroom session, or a U-shape facilitation - the same number of people needs a very different sized room depending on the setup. Theatre style fits the highest number into a given space, cabaret takes ~40% more space, and boardroom layouts cap at roughly 20–35 people at scale.
AV is usually included - but check the spec
Most London conference venues bundle standard AV into the room rate or DDR: HD projector, screens, WiFi, microphones, and video-conferencing kit (Zoom, Teams, Google Meet) are typically all in. Where it gets bumpy: hybrid-meeting cameras, roving microphones, live-streaming, or simultaneous translation are almost always charged separately.
Central isn't always best
Central London venues cost 30–50% more than equivalent space in King's Cross, Canary Wharf, or Stratford - all with excellent transport links and a calmer atmosphere for focused work. If 70%+ of attendees are travelling in, station-adjacent often beats Zone 1.
DDR or dry hire? That's where catering kicks in
If your venue offers a Day Delegate Rate (DDR), catering is usually bundled - lunch, breaks, and refreshments all included in the per-head price (typically £35–£65/head extra over dry hire). If you're booking dry hire (room only), catering is a separate cost on top. Ask "DDR or dry hire?" in your first enquiry and the rest of the numbers make sense.
